Smart Strix + Xero: Fleet Invoices Into Your Accounts
Your dispatch system knows what you billed; Xero needs to know too. The Smart Strix Xero integration exports invoices from your fleet operation into Xero over a secure OAuth connection — so the books match the jobs without anyone typing an invoice twice.
What does the Xero integration do?
It sends invoices raised in Smart Strix into your Xero organisation. Inside Strix, an invoice already carries the story of the work — the quote it came from, the job, the signed POD — and moves through draft, sent, viewed and paid with automated reminders and late fees along the way. The export step hands that invoice to Xero, where your accountant, VAT returns and reporting live. One system runs the operation; the other keeps the books; the integration is the bridge between them.
How do I connect Smart Strix to Xero?
Through Xero's standard OAuth flow — the same authorisation pattern Xero requires of every certified connection:
- Open integrations in your Smart Strix dashboard and choose Xero.
- You're redirected to Xero to sign in and approve the connection.
- Authorise, and you're returned to Smart Strix with the link active.
No API keys to copy, no credentials stored in Strix — Xero issues the tokens, and you can revoke access from either side whenever you like.
When do invoices export to Xero?
When an invoice is ready to leave the operational side — you raise and send invoices in Smart Strix as usual, and the connected export carries them into Xero so the accounting record exists without duplicate entry. The operational lifecycle (viewed status, reminder schedules, partial payments) continues to run in Smart Strix invoicing, while Xero holds the ledger copy your bookkeeper works from.
What does the integration deliberately not do?
We'd rather you know before connecting than discover after:
| Included | Not included |
|---|---|
| OAuth connection you control | Two-way sync of contacts, payments or bills |
| Invoice export from Strix to Xero | Pulling Xero data back into Strix |
| Revoke access anytime, either side | Bank feeds, expenses or payroll anything |
If a one-way invoice export covers your bookkeeping handoff — and for most 2–50 vehicle fleets it does — this is the clean version of it. If you run on QuickBooks instead, the QuickBooks integration works the same way.
Who is this for?
UK couriers, removals firms, recovery operators and van fleets already invoicing from Smart Strix whose accountant lives in Xero. Pair it with Slack notifications to hear the moment an invoice goes out, and see pricing for plan details — a Smart Strix account costs nothing to open.
